Salary indication: € 32.500 – € 35.000

As a Project Administrator you will work in dynamic and international environment. The Project Administrator reports directly to the Finance Manager and will be a sparring partner for the account services team.

As project administrator you will, monitor several (project) budgets and you will have progress meetings with the project teams. You will be challenged to develop yourself and to extend your knowledge and skills. The Project Administrator monitors and guards every client production job from the moment the estimate is signed through the final billing and job closure. Throughout this position it is expected to be proactive in order to stay in control of project costs and overall project developments.  It is the key responsibility of the Project Administrator to ensure that the project administration balances are properly reflected, accurate and meets the quality requirements. You will be challenged to develop yourself and gain more complex projects.

The ideal candidate is enthusiastic, is hard working and has a bachelor degree (preferably in Finance or Accounting). You should be able to work in creative environment and have the right drive and ambition to make a difference within the organization.

Main tasks and responsibilities

  • Assist the Business Controller;
  • Prepare & hold regular progress meetings with the project teams;
  • Complete job reconciliations with producers & communicate balances to account teams;
  • Monitor and guard every client production job, from job start to job closure;
  • Checking and assessing all vendor invoices & expenses for job booking;
  • Manage the project administration for the assigned clients, includes billing process, monitoring of the project against estimate & AR chasing;
  • Timely, Accurate and compliant reporting of month-end closing deliverables;
  • Timely collection of time sheets for assigned departments;
  • System training – Timesheet & Expense training for new joiners & any other system related questions when needed;
  • Assist & prepare documentation for internal & external account audits.


  • 0-3 years’ experience is preferred;
  • Bachelor’s degree in Accounting or Finance;
  • Strong verbal and written communication skills;
  • Excellent Excel skills;
  • Have a good command of the English language (essential), both written and spoken;
  • Be well organized with the ability to priorities workload to meet deadlines and handle a variety of tasks at once;
  • Be an enthusiastic team player with a hands on attitude.
